A staff member left. How do I cut their access?

Short answer

Remove them, once, in one place. The seat closes and the access their seat gave them stops at the same moment, so there is no second screen to remember and no ghost login on your property.

The longer version

The version of this that goes wrong everywhere else is the two-step version: you stop paying for somebody and their login keeps working, or you disable a login and keep paying for the seat. Both happen because two things had to be remembered.

What actually happens

Removing them ends the seat and withdraws the access that seat granted, together. If any part of it fails, none of it happens, so you are never left in the halfway state where you believe somebody is gone and they are not.

The same day they leave

  • Remove them, so the seat and the access go together.
  • Reassign anything they were holding, especially open repairs. A job assigned to somebody who left is a job nobody is doing.
  • If they issued long visitor codes, cancel the ones still running.
  • Check who else can approve a payment. This is the one people forget, and it is the expensive one.

A guard who left with a long visitor code still in circulation is a live gate problem, not a paperwork problem. Cancel the codes on the same day.

The seat is now free. Your plan includes two, so the next hire goes in without you buying anything.
